Summer Accommodation – Priorities & Guidelines

Both Perisher and Thredbo Lodges are amazing places to spend time. Members are actively encouraged to use the Lodges and recommend it to their family and friends.

The 2020-2021 Summer Season commences on 11 October 2021.

Access to the Lodges and the accommodation arrangements will be affected by Covid-19 and the associated public health orders.  Even when vaccination thresholds are achieved, members and guests can expect that travel plans and Lodge operations may be altered at short notice by changes in public health orders.

As at the date of this notice, the public health orders that will apply when the Snowy Monaro and other relevant areas emerge from lock down have not been announced.  The Club anticipates that ability to travel and visit venues will be linked in some way to vaccination status.  It is also foreseeable that limits will apply on the number of people able to stay in certain types of accommodation.

The booking plan for this year is to take and allocate bookings in accordance with the usual booking priorities and process. The invoicing and cancellation policies will be the Covid -19 versions.  Invoices will be issued when it is appropriate.  The cancellation and refund policies will provide for full refunds for bookings affected by Covid-19 developments.  It is important to note that allocations will be subject to the public heath orders.  For example, if the subsequent health orders limit the number of guests, then your allocation may be affected or even cancelled.  We will of course seek to resolve booking issues on a fair basis, in accordance with the Club booking priorities. 

You should note that, because of Covid-19 situations or bush fire situations, the Club may be obliged to close at short notice at any time and you may not be able to stay.  If a closure occurs for or during your booking you will be entitled to a refund of unutilised accommodation payments to the Club (see Cancelation Policy below), but the Club will not be refunding any payments you have made to other parties.

Your responsibilities include:

  • Providing completed Guest Responsibilities and Acknowledgement Forms for every person in your booking – due on confirmation of booking.
  • Providing completed Health Declarations for every person in your booking – due 1 to 2 days before commencement of booking.
  • Practice high levels of hygiene as recommended.
  • If you are unwell STAY HOME.
  • If you become unwell, report it to the Summer Caretaker or Booking Officer immediately and seek medical advice.
  • Abide by all instructions from the Summer Caretaker, Lodge Committee Chairman or a Director, as they are enacting the Operating Plan.
  • If you don’t participate in the performance of the Operating Plan you will be asked to leave the Lodge and will not receive a refund.

Please make yourself aware of the latest COVID-19 case and area restrictions as declared by NSW Health and other authorities when completing the Health Declaration.

 

Booking Priority

Bookings for Summer 2021-2022 accommodation will be made through our web-based Booking System. A refresher on how to use the system is outlined in Appendix.

The booking priority arrangements for Summer 2021-2022 are as follows:

Priority 1           Includes all Members and, where two members of the immediate family are Club Members (i.e. dual membership), the spouse plus all dependent children of that family booking who will be accompanied by the Member;

Priority 2           Includes the spouse and dependent children of a single Member who will be accompanied by the Member;

Priority 3a         Includes Members’ independent children, friends and Members’ acquaintances who will be declared Temporary Members for the period of their stay at any Club Lodge and who will be accompanied by the Member;

Priority 3b         Thredbo only.  Includes Members’ independent children, friends and Member’s acquaintances who will be declared Temporary Members for the period of their stay at any Club Lodge and will NOT be accompanied by the Member.

Accommodation will be allocated by the Booking Officers so we can be sure that all bookings made are within the Club rules.

The Summer Booking Officer will allocate bookings as follows:

                        Priority 1, 2 and 3a bookings on 13 October 2021;

                        Priority 3b bookings on 20 October 2021.          

To be considered for priority allocation, your booking request must be received by 9am on the day of allocation.   Member priority rules apply up to and including 19 October 2021.  Member bookings in excess of one week (cumulatively) at any time are NOT accepted until after 23 October 2021.

Members are also reminded of the POLICY REGARDING CANCELLATIONS.  You may wish to consider travel insurance.

 

Booking Notes

The demand for accommodation and/or the restrictions imposed by public health orders may mean that ballots are required to determine allocations.

A guest may not stay at the Lodges for more than two weeks in total over the 2021-2022 Summer Season without Board approval.

For the Xmas Peak and Easter periods, whole of Lodge requests will be considered in priority to individual room requests.

To accommodate Lodge cleaning, bookings may need to be separated by a clear day.  At Thredbo, if the previous booking involves 4 rooms or less, it may be possible to schedule successive bookings without a clear day between the bookings.  The Booking Officer will liaise with the Summer Caretaker to determine the scheduling requirements for cleaning.

Guest Responsibilities and Acknowledgement Forms and Health Declarations are to be completed before your stay.  These form are available at http://dulmisonskiclub.com.au/accommodation-winter-summer/winter/http-dulmisonskiclub-com-au-wp-content-uploads-2020-06-dulmison-covid-19-safe-operating-plan-v1-1-18-june-20-pdf/  Booking confirmation emails will include instructions on when to complete and return these forms.

Room allocation is at the Booking Officer’s discretion and there is no guarantee requested rooms can be so allocated.  Rooms cannot be changed without the Booking Officer’s permission.

Bookings by a Temporary Member for stays at Thredbo Lodge, unaccompanied by a Member, must be sponsored by a Member.  At Perisher Lodge, Temporary Members must be accompanied by a Member.

 

Thredbo Notes

Lodge Manager: A Summer Caretaker will be in residence.

Linen: Bed linen (fitted sheets, doona covers, pillow slips and towels) are provided for a fee of $20 per person per stay. At the end of the stay linen is to be placed appropriately in the three baskets under the stairs.

Food: For 2021-2022, breakfast will be available, subject to public health orders from time to time.

Whole of Lodge: Maximum capacity for whole of Lodge bookings is 16 persons.

Social Distancing Requirements:  Social distancing requirements may apply from time to time.  The Booking Officer will advise you of any restrictions applicable to your stay.

End of Stay: It is the responsibility of departing guests to:

  • leave their rooms in a tidy state with doonas and pillows left neatly on the beds;
  • empty all rubbish bins;
  • remove all linen and towels from the room and place in the designated area;
  • leave the kitchen and common areas in a tidy state, with all utensils and equipment cleaned and put away.

Cleaning: Compulsory for all bookings. Fees: $25 per bedroom-bathroom used plus $80 for common areas.

Perisher Notes

Lodge Manager: There will be no on-site Summer Caretaker at Perisher.

Linen and Food: All guests must provide their own food, bed linen, towels and toiletries.

Whole of Lodge: Maximum capacity for whole of Lodge bookings is 22 persons.

Social Distancing Requirements: Social distancing requirements may apply from time to time.  The Booking Officer will advise you of any restrictions applicable to your stay.

End of Stay: It is the responsibility of departing guests to:

  • leave their rooms in a tidy state with doonas and pillows left neatly on the beds;
  • empty all rubbish bins and place all rubbish in the Perisher waste transfer (behind the fire station);
  • leave the kitchen and common areas in a tidy state, with all utensils and equipment cleaned and put away.

Cleaning: Compulsory for all bookings. Fees: $25 per bedroom-bathroom used plus $80 for common areas, with a minimum charge of $300.

Conduct

All guests including children are required to abide by the Lodge Rules, which include responsibilities to behave in an appropriate manner towards each other and to take care of the Lodge, its facilities and for the proper use of equipment.

Guests accompanied by young children are reminded that facilities for children in the Lodges are limited.  Parents are responsible for their own children at all times during their stay and are responsible to ensure that the behaviour of their children is acceptable.

Any guest (including children) whose conduct is found by the Club to be unacceptable may in future have their booking privileges withdrawn.

Membership

Annual Subscription: Member rates and Member booking priority are not available to Members who have not paid their Annual Subscriptions.  Please note that for 2022 the Annual Subscriptions are due and payable by 31 December 2021.

Accommodation Rebate: The Accommodation Rebate in the 2022 Subscription fees may be used for Summer bookings commencing on or after 1 January 2022 provided the 2022 Subscription fee has been paid before the booking is made.

The Accommodation Rebate in the 2021 Subscription fees may be used for Summer bookings until 31 December 2021

The Accommodation Rebate is not available to be applied against any cleaning charges.

 

Payment

 

  • Payment must be paid in full on receipt of invoice. If payment is not received within 48 hours the booking will be cancelled.  Please email bank confirmation of payment if paying by EFT.
  • If full payment is not received within the time stipulated, cancellation charges will apply. See Cancellation Policy for details.
  • Payment can be made by credit card (through the Booking System) or by EFT.
  • The invoice amount for a booking does not include an available rebate. When paying by EFT you may adjust the invoice amount by your available rebate.  Outstanding balance amounts do include available rebates, and the rebate will be utilised when you select the credit card option to pay outstanding balance.  Available rebates of other Members in a booking can be transferred to the booking Member.  To transfer a rebate, please contact the Summer Booking Officer prior to making your payment.  See your invoice for information on how to utilise your rebate.
  • Invoices will be sent via email. Please check your email address through the “Manage Account/View My Details” option on the Booking System.  Please ensure you include your current address on any booking form or other correspondence relating to summer bookings.  Invoices will show the total amount owing on the invoice and your overall account, as well as cancellation details.

    Cancellation Policy

    Bookings cannot be transferred without the authority of the Booking Officer.

    If required by the Covid-19 Safe Operating Plan or due to bushfire emergencies, bookings can be cancelled at any time by the Club. If a booking is cancelled by the Club, accommodation payments for days not used will be refunded in full, provided that the guests in the booking have complied with the Operating Plan and directions made under it by the Summer Caretaker, Lodge Committee Chairman or a Director of the Club.  Similar arrangements will apply if bush fires again impact on access to or use of the Lodges, as determined by the Directors from time to time.  Cleaning charges will still be payable.

    The cancellation policy for bookings cancelled by a guest is as follows:

    More than 14 days before the booking commences – Payments of cancelled accommodation refunded if the cancellation is made more than 14 days before the booking commences.

    Members only – If a booking is cancelled 14 days or less before the booking commences and rooms are on sold, members will only be charged 40% of the accommodation cost.

    Medical Cancellations – Bookings may be cancelled by a guest, and unutilised days refunded in full, at any time because of a possible or actual infectious medical condition of a member of the group in the booking, supported by a medical certificate.  “Medical certificate” requires advice or a requirement to self-isolate due to a possible or actual infectious medical condition or contact with an infected person.

    Travel Restrictions – Bookings may be cancelled by a guest, and unutilised days refunded in full, at any time because of travel restrictions imposed by the public health orders which prevent a guest or guests in a group travelling to or staying at the Lodges.

    All other cancellations – cancellation charge is 100% of the cost of the cancelled accommodation

Accommodation Rates and Seasons for Summer 2021-2022

Accommodation rates are higher in Summer 2021-22 but are still competitively priced compared to other accommodation in the mountains.  All rates include 10% GST.  Whole of Lodge rates available for bookings of 3 nights or more.  Rates for spouse and children of a (Single or Dual) Member apply only if accompanied by the Member.  For rates purposes a child of a Member (Single or Dual) can be either:

  • a dependent child, being i) a child aged under 21 years, or ii) a child aged 21 years to under 25 years who is a full-time student at a school, college or university (adopting the Australian Taxation Office definition);
  • an independent child – being a child aged under 25 years who is not a dependent child.

Appendix 1    Dulmison Booking System

Bookings for Summer 2021-2022 accommodation will be made through our web-based Booking System. A refresher on how to use the system is outlined below. For Members who have not yet used the system, you can make bookings online, view the status of your account at any time, and pay for bookings via credit card. Membership and family details are loaded into the system, as well as any rebate entitlement. The web-based Booking System is accessible through www.dulmisonskiclub.com.au under Accommodation>Bookings.  At the login prompt, enter your member number and surname.  If you don’t know your member number, simply click on “Retrieve Your Member Number” and an email will be sent to you with details.

The web-based booking request process has four steps.

Step 1: Nominate Lodge, dates and number of beds

Step 2: Review booking and contact details

Step 3: Booking status response and payment

Step 4: Enter names of people staying

Notes on each of the steps

Step 1: Nominate Lodge, dates and number of beds.  For Thredbo, you may nominate car parks.  Note that the dates are specified as first night and last night.  (For example, a 7-day booking from Sunday to Sunday should be entered as Sunday night to the following Saturday night).  Dates can be entered in the calendar grid or in the boxes beneath the calendar grid.

Step 2: Enter the names of the people who will be staying in this booking.  Names of Members will be recognised.  Names in the Member’s family and other guests will also be recognised if you have provided their details to the Booking Officer prior to making your booking request.  (See below on providing family and friends details).  Check the dates in the top left corner.

Step 3: Review the booking information and update contact details if required.  Note that the Booking System is not set up to provide whole of Lodge tariffs as an option.  Please use the comments box to make any requests for whole of Lodge tariff rates.  The Booking Officer will adjust the cost of bookings for applicable whole of Lodge rates at the invoicing stage.  Also use the comments box to provide additional information such as a second preference for Lodge or dates, double or twin beds requirements for each guest, and accessible bathroom (Perisher only).

The red banner at the top of the page will contain messages including wait listing, priority period and limits on bed nights.  If the “Next step” button is not visible, your proposed booking does not satisfy the booking rules.  You can revise the booking by clicking on “Previous step”.  The booking rules are set out in this Summer Rates Notice and on the web pages accessible via www.dulmisonskiclub.com.au > Accommodation > Booking.

If all is in order, click “Next step”.

Step 4: For this season, all booking requests will be waitlisted, for subsequent allocation by the Booking Officer in accordance with the priority periods and the arrangements required by the Club’s COVID-19 Safe Operating Plan.

Note that at Step 4 you will be sent an email with your booking request details and status.  If you don’t receive an email, your booking request has not been recorded in the system.  Check your junk email box before contacting the Booking Officer.

You can view summary details of your bookings and initiate payment or cancellation requests through Manage a Booking>View My Bookings.  You can update your personal details through Manage Account>View My Details.  Key information about rates, bookings and cancellation policy can be found under the Ski Lodge Details tab.  To change a booking please send your change request by email to the Summer Booking Officer.

Note that accommodation will still be allocated by the Booking Officers so we can be sure that all bookings made are within the Club rules.

Last year we invited Members to send details of your intended guests (family and friends) to the Booking Officer for pre-loading into the system.  Once loaded, the details will be available in the system for all future bookings.  If you haven’t already done so, please email your family and guest details now to bookings@dulmisonskiclub.com.au

  • Name and gender;
  • Relationship to you (spouse, dependent child, independent child, friends)
  • Date of birth (for children under 25)
  • For dependent children aged 21 to 24 inclusive and in full time study – something that confirms full time study status.

Family not pre-loaded into the Booking System will only have access to Temporary Member booking priority and rates, and the priority date (the date your booking is considered for allocation) for your overall booking will be deferred to the Temporary Member date, and will not benefit from priority.

Temporary Members (not part of a Member-made booking) will continue to submit their booking requests by Booking Form.  Booking requests by Club Booking Form will be entered into the Booking System for allocations and invoicing.

As the season progresses, the Booking System displays room vacancy information, which is updated as booking requests are allocated.
